Approach
Careful, clear, and measured against your time.
Good tools fail when they're bolted onto a business without thought. We go slower at the start so that what we leave behind keeps working.
Principles
What guides the work.
Understand before building
We look at how the work is done today before suggesting anything. Often the fix is simpler than expected.
Start small
One process, one team, one tool. Prove it works, then decide together whether to go further.
Write it down
Scope, decisions, settings and how-to guides are all written down and handed to you.
Train people, not just systems
A tool nobody is confident using is wasted money. Training uses your own work and continues until it sticks.
Leave you independent
Accounts in your name, documentation you keep. You should be able to carry on without us if you choose to.
Be honest about limits
Software makes mistakes, and AI tools more than most. We design the work so that a person still checks anything that matters before it goes out.
Method
Four steps, in order.
-
Understand
A first conversation about your business and what's taking up time. If it looks like a fit, we spend time with the people doing the work to see the tools, steps and bottlenecks first-hand.
-
Scope
A written proposal in plain language: the problem as we understand it, what we'll do, what's excluded, timeline, cost and how we'll measure success. You decide whether to go ahead.
-
Build & train
We set up or build the solution, test it against your real work, fix what doesn't fit, and train the people who'll use it. You get a short written guide.
-
Support & refine
A helpline for questions once you're live, and check-ins to see whether the time savings are real. Anything that isn't earning its place gets changed or removed.
Proposals
What a proposal from us includes.
Short enough to read in one sitting, specific enough to hold us to.
- The problem, described in your words
- What we'll do, step by step
- What's not included
- Timeline and the people involved on your side
- Cost, and when it's payable
- How we'll know it worked, such as hours saved or errors avoided
- Who owns what at the end: accounts, files, code and documentation
Your information
How we handle your information.
Looking closely at a business means seeing its information, and new tools raise fair questions about where that information goes. We'd rather answer them up front.
- We only ask for access to what the work needs, and give it back at the end.
- Tools are set up in your business's name, with privacy settings explained rather than left on defaults.
- We help you write a short policy on what staff may and may not put into online and AI tools.
- We handle personal information in line with the Protection of Personal Information Act (POPIA). See our privacy notice.
- We don't use your business's information for anything other than your work.
Questions
Common questions.
Do I or my staff need to be technical?
No. If you can use email and a spreadsheet, you can use what we set up. Training is in plain language, in English or Afrikaans.
Do we have to start with a big project?
No. Many businesses start with a short review of one area, such as stock, quoting or admin, and decide what to do next once they've seen the findings.
Which software and tools do you work with?
Whatever fits: spreadsheets, online forms, accounting and booking software, custom-built tools, and AI assistants such as Claude where they genuinely help. We're independent and not tied to any vendor. Sometimes the answer is fewer tools, not more.
Is it safe to put business information into online and AI tools?
It depends on the tool, the plan you're on and how it's configured. We explain what each tool does with your data, set it up sensibly, and help you decide what should never go into it.
Will this replace my staff?
That's not the aim. The aim is to take repetitive work off the people you have, so their time goes to work that needs a person.
How much does it cost?
It depends on the scope. After a first conversation you'll get a written proposal with a clear cost. Nothing is billed that you haven't agreed to in writing.
Where do you work?
We're based in the Western Cape and can meet in person where it's practical. For the rest of South Africa we work remotely, by video call and screen-share.
Do you give financial advice?
No. Edelstein Group is not a licensed financial services provider and does not give financial, insurance or investment advice.
